4.19.2 Separating Employment Procedure

A. Purpose

The purpose of this policy is to outline the policy and procedure for separation from The University of Texas at Tyler.

B. Persons Affected

All employees separating employment from The University of Texas at Tyler.

D. Policy and Procedures

During the last week of employment with The University of Texas at Tyler, the separating employee’s department or the separating employee must schedule an appointment for the employee with the Office of Human Resources. During this appointment, the employee may have an exit interview or complete an exit survey and will take care of various matters including completion of an exit checklist.


During the exit process, the employee shall be provided:

  1. With an opportunity to confidentially discuss information related to the position from which he or she is separating and the employer-employee relationship; and,
  2. With the opportunity to accomplish the administrative actions necessary to provide clearance for the separating employee. Administrative actions include, but are not limited to: insurance continuation authorized under COBRA; final processing of retirement program participation; determining a forwarding address; and the return of, or accounting for, University of Texas at Tyler property including keys, identification cards, credit cards, and parking tag. Any indebtedness by the employee should be reconciled during this meeting.
  3. If for some reason the employee does not meet with the OHR representative, then a packet of materials concerning employment at The University of Texas at Tyler and continuation of insurance will be mailed to the separating employee.

F. Review

This policy shall be reviewed by the Director of Human Resources every five years or as legislation changes.
